THE POSITION

·         Reports to: Director of Business Development & Communications

·         Responsible for: Managing economic development databases and project tracking systems to maintain up-to-date RFP/RFI records for senior leadership reporting. Offering administrative support and serving as backup to the front desk and the event coordinator when required.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS

Economic Development Responsibilities:

·         Collect and input data on Requests for Proposals (RFPs) and Requests for Information (RFIs) that are received from prospective tenants and site selectors, Oklahoma Department of Commerce, and Tulsa Regional Chamber for review internally.

·         Communicate and meet proposal deadlines by providing due dates for proposal(s) to the team and establish project priorities.

·         Collaborate and coordinate with internal and external contributors to ensure content on RFPs and RFIs are complete, accurate and submitted on time.

·         Work with Director of Engineering and Construction to maintain active status of RFPs & RFIs (past and present).

·         Manage Economic Development database and run various reports as needed.

·         Assist with presentations and any activities associated with site visits and other events, as required and needed.

·         Assist with the coordination of MidAmerica Business Leaders Association and Human Resources Professionals quarterly meetings to include planning, communication, setup, tracking, and associated logistics.

·         Develop, maintain, and update industry contact and mailing lists. Distribute industry list(s) monthly to internal personnel.

·         Assist and support with special and various projects as assigned.

 Administrative Primary Responsibilities for prospective Directors:

·         Offer high level support to prospective directors and key leadership by scheduling meetings, maintaining calendars, preparing requisitions, and ensuring that meeting materials are prepared and organized.

·         Attend meetings, take minutes and notes, and prepare summaries of meeting activities and outcomes as needed.

·         Assist and support the Director of Business Development and Communications as required.

·         Assist and support the Director of Engineering and Construction as required.  

·         Assist and support the Director of Workforce Development and Business Retention as required.

Administrative Secondary Responsibilities:

·         Attend, plan, and coordinate community and economic development events, meetings and activities as needed.

·         Assist Executive Assistant with OOWA Board of Trustees’ meetings (bi-monthly), as requested.

·         Coordinate with Office Administrator to make sure office is secure at end of day.

·         Serve as a back-up for the front-desk position as needed.

·         Assist with special events and provide backup for the Event Coordinator as needed.

·         All other duties as assigned.

Candidate Qualifications/Profile

1     Education

·         Bachelor’s degree is preferred.

2    Experience

·         A minimum of five years’ relevant experience in a business or educational environment.

3    Personal Characteristics/Proficiencies

  • Communication Skills – Excellent written and verbal communication skills are essential for drafting reports, preparing public-facing materials, and interacting with diverse stakeholders.

  • Ability to Prioritize – Efficiently analyze tasks that need to be dealt with immediately and which to put off until time allows.

  • Hands-On Style – Ability to work in a hands-on manner, especially when coordinating local events, site visits, and other MAIP related programs.

  • Initiative-taking – Ability to work independently, self-motivated but also function as a team member.

  • Ability to Multitask – Highly organized and attentive to detail with the ability to work on multiple projects simultaneously and effectively.

  • Flexibility – Willing to attend events and promote the Park, occasional evenings, and weekends.

  • Integrity – Ability to handle confidential and sensitive information.

  • Positive Attitude – “Can-do” attitude. Approaches a problem as exciting challenges and does not feel that any job or task is “beneath” him/her.

  • Computer Proficiency – Demonstrated proficiency in the use of Word, Excel, Outlook, Adobe Illustrator, and PowerPoint applications. Efficiency in Canva and EcoDev a plus.
