ESSENTIAL JOB FUNCTIONS:
- Prepares and enters purchase requests and purchase orders for equipment, materials, and services.
- Processes releases off of purchase orders for equipment, materials and services.
- Make purchases using the P-Card system; prepares documents to account for purchasing as required.
- Arranges and prepares documentation for travel, mutual aid, and/or training trips for assigned staff; organizes and prepares reimbursement documentation after trips have been completed.
- Prepares and handles confidential documents concerning pay, personnel, budget, compliance activities, etc. as assigned.
- Assists with preparation and processing of bid documents, as needed.
- Monitors use and coordinates maintenance required for pool vehicles, as assigned.
- Posts, receives, and distributes mail to and from various GRDA Divisions.
- Prepares reports for monthly Board of Director meetings, as assigned.
- Maintains T&D Engineering and Operations records; scans documents and files electronically; files paper copies as needed.
- Prepares letter responses to standard inquiries for signatures by management.
- Does miscellaneous keyboarding for reports and forms.
- Performs usual activities associated with a clerical job including making copies, preparing envelopes, mailings, filing, etc.
- Attend meetings and coordinates department activities as required with other GRDA departments.
- Assist T&D Engineering and Operations staff with scheduling meetings.
- Take meeting minutes and distribute them as needed.
- Assist in preparing budgets by tracking budgeted O&M costs per department.
- Keeps files, reports and other information as needed for FEMA reimbursement.
- May receive calls for various T&D Engineering and Operations personnel and direct calls to proper individuals.
- Some overtime may be required, mostly during extreme system outage events.
- Other duties as assigned.
EDUCATION, TRAINING, AND EXPERIENCE:
- Minimum high school graduate with at least five years of experience in clerical office work. Associates degree in business or related field preferred.
SPECIAL CERTIFICATES, REGISTRATIONS, LICENSES REQUIRED:
- Must have and maintain a valid Oklahoma driver's license.
- Must obtain and maintain OK State Certification as a Certified Procurement Officer (CPO). GRDA will pay costs for CPO Certification.
- Must have or obtain Notary Public certification. Costs borne by GRDA.
SKILLS, KNOWLEDGE, & ABILITIES REQUIRED:
- Requires competency with personal computers.
- Requires training and experience with Microsoft Office Excel, Word, Outlook, PowerPoint, OneDrive and Teams.
- Requires the ability to learn and use GRDA’s computerized asset maintenance system, MAXIMO, and enterprise resource planning system, Microsoft D365, to enter and track material purchases.
- Requires the ability to follow processes and procedures.
- Must be competent in the use of the English language both in the written and verbal form; must speak clearly.
- Must exhibit a positive, pleasant personality and a professional demeanor for meeting the public.
- Requires the ability to prepare basic reports; to gather, review, and analyze data.
- Must be detail oriented.
PHYSICAL/MENTAL REQUIREMENTS:
- Business related travel may be required for training purposes and miscellaneous meetings.
- Must be able to handle weights up to 30 lb. on an infrequent basis.
- Requires bending as needed for filing of documents.
ENVIRONMENTAL CONDITIONS & SAFETY CONCERNS:
- Work is usually performed in an office environment.
