1. Job Overview
The Parts Room & Maintenance Planner improves workforce productivity and quality by anticipating and eliminating potential delays through effective planning, scheduling, and coordination of maintenance resources, parts, materials, and equipment access. This role ensures adherence to all Environment, Health, and Safety (EHS) standards and serves as an integral member of the Maintenance Team. Acting as a strategic partner to both maintenance and production teams, the Parts Room & Maintenance planner supports capacity utilization, equipment reliability, and life cycle asset management.

• Assist with related maintenance upgrades, improvements, and assigned projects as needed
• Ensure that all equipment, parts, and are available to personnel through procurement and inventory management to efficiently complete each work order assignment with minimum downtime.
• Provide advice on matters relating to time and parts estimates on maintenance projects.
• Ordering of replacements and spare parts, maintenance & manufacturing supplies
• Identify unknown parts and locate supplier(s) for these parts as needed for maintenance of the plant machinery.
• Establishes and maintains effective systems and controls for inventories of all spare parts.
• Compares vendors for best pricing, delivery, and overall service to find the best suppliers.
• Prepares and arranges shipping for those parts needing repairs, rebuilding, etc.
• Works with Maintenance personnel during machine breakdowns to provide efficient part identification and purchase if needed.
• Records all daily parts withdrawals into the computer database and assures all new parts are entered into parts database with accurate, complete, and detailed information.
• Complete other duties as assigned by Shift Supervisor.
3. Principal Accountabilities
• Develop and manage maintenance schedules (preventive and corrective) using CMMS.
• Coordinate work orders and assign tasks based on priority and available resources.
• Ensure timely execution of both planned and unplanned maintenance activities.
• Collaborate with operations to prioritize tasks based on equipment availability, safety, and contractor readiness.
• Coordinate external contractor services as needed.
• Oversee inventory control for spare parts and consumables.
• Maintain stock accuracy through regular cycle counts and inventory checks.
• Procure parts by evaluating vendor pricing, delivery timelines, and service quality.
• Manage vendor check-in and ensure compliance with site protocols.
• Optimize parts room layout for efficiency and accessibility.
• Train team members on inventory systems and work order processes.
• Issue work permits (e.g., hot work, confined space) in line with EHS standards.
• Verify job readiness and ensure all safety requirements are met before issuing permits.
• Ensure EHS compliance across all maintenance activities.
• Maintain CMMS database for accuracy and reliability.
• Document work orders including labor, materials, and equipment history.
• Generate and analyze KPIs such as PM compliance, backlog, and inventory accuracy.
• Act as liaison between maintenance, production, and vendors to reduce downtime.
• Communicate changes in schedules for maintenance tasks and projects with resources and parts needed to stakeholders.
• Report to Maintenance Manager on planning, inventory, and performance metrics.
• Support root cause analysis and reliability improvement efforts – parts consumption, asset history etc.
• Identify cost-saving opportunities and drive process optimization.

6. Qualifications/Requirements
6.1 Formal Qualifications and Experience
• Minimum of 5-7 years of maintenance experience in a manufacturing environment is preferred.
• Ability to read and follow directions
• Adherence to the Core Values of the Company
• Ability to stand up to 100% of time
• Ability to move from one place to another up to 100% of time
• Ability to work on a computer 50% of time
• Manufacturing work environment with moderate noise levels and smells
• Ability to work with chemicals and cleaning supplies
• Ability to lift up to 50 pounds
With training:
• Can create maintenance plans and schedules that meet company objectives
• Can manage spare parts inventory maintaining efficient levels and staying within budget
6.2 Knowledge/Skills/Abilities/Behaviours
Job Specific skills and abilities
• Knowledge of general maintenance techniques, processes, and procedures for the repair, installation, and modification of a variety of company equipment, systems, and facilities.
• Ability to read and interpret blueprints, maintenance manuals, schematics, and drawings.
• Forklift Certification or ability to obtain.
• Effective oral and written communication skills.
• Ability to work independently and make decisions on the most appropriate approach to solving problems.
• Ability to build strong vendor relationships
• Effective creative thinking and trouble shooting skills.
• Good critical judgement and initiative.
• Ability to cooperate well with others to follow safety procedures and prevent injuries.

Compensation:
• The starting rate of pay for this position is $29.00; however, starting pay offered may vary depending on job-related knowledge, skills, and experience.
